1. Who we are
Swim School Owners Hub (“SSOH”, “we”, “us”, “our”) is a business education and done-for-you marketing service for swim school owners (ABN 78 729 630 949). This policy explains what personal information we collect through our website, our free tools, our checkout, our course and service delivery, and our email and phone communications, and what we do with it.
2. What we collect
Depending on how you interact with us, we may collect:
- Contact details: name, email address, and phone number, when you join The Fast Lane, ask us to email you a health check result or an Impact Ease Grid, book a call, or purchase the Profit Leak Diagnosis, the Automated Receptionist, a Blueprint seat or deposit, or Slipstream.
- Your health check result: if you ask us to email you your Swim School Health Check result, the five scored values behind it (your level and your three lever scores) are sent to us with your name and email. Your individual answers are not.
- Your Impact Ease Grid: if you ask us to email you a link to your grid, your task list is encoded inside that link, so the list reaches us as part of it. Using the tool without asking for the email sends us nothing.
- Business information: anything you tell us about your school in a form, an application call, or while we are delivering the Blueprint or Slipstream. This is business data about your school, not sensitive personal information, but we treat it as confidential.
- Voice and call data: if you call our Automated Receptionist demonstration line, or use the voice demonstration on our website, the call is answered by an automated voice agent running on GoHighLevel. Your phone number, what you say, and a transcript of the call are processed and retained by that platform so we can see how the demonstration is being used.
- Payment information: purchases are processed through GoHighLevel and its payment processing partners. We do not directly collect or store your full card details on our own systems.
- Course and service delivery data: attendance, access to session recordings, and communications related to the Blueprint, Slipstream, or a receptionist installation, where relevant to delivering what you bought. For Slipstream we also work inside the advertising and booking accounts you give us access to, on your instruction.
- Technical data: standard website analytics through Google Analytics 4 (pages visited, device and browser type, referring site) and cookies, including the Meta (Facebook) Pixel, which runs on every page of this site so we can measure our advertising. It records your visit to Meta whether or not you have a Facebook or Instagram account, and whether or not you arrived from an ad. You can limit what Meta does with it in your Facebook or Instagram settings under Ad preferences, and browser-level tracking protection or an ad blocker will stop it loading at all.
3. What never reaches us
Three of our tools do their work entirely inside your own browser, and the numbers you put into them are never transmitted to us or to anyone else:
- The Profit Leak Diagnosis report: you enter your own figures (enrolments, occupancy, revenue, churn, trial conversion and similar) and the page does the arithmetic where you are sitting. There is no form to submit and nothing is saved. Close the tab and those figures are gone, so keep your own copy of anything you want to keep.
- The Swim School Health Check: your nine answers are scored in your browser and encoded into the page address, which is what makes a result shareable and permanent. Unless you choose to give us your email at the end, we do not receive your answers or know that you took it, beyond the anonymous page view described above. Anyone you send that address to can open the same result, so treat the link as yours to share or not.
- The Impact Ease Grid: your task list is stored in your own browser only, on the device you used. Clearing your browser data deletes it, and we cannot recover it for you.
4. How we use it
We use your information to: deliver what you have bought, including the Profit Leak Diagnosis, an Automated Receptionist installation, the Blueprint (Zoom access, recordings, materials) and Slipstream; process payments and manage your purchase; hold a cohort seat where you have paid a deposit; run booked calls; send The Fast Lane and other marketing communications you have opted into; respond to enquiries and provide support; and improve our website, our tools and our offers.
We do not sell your personal information to third parties.
5. Who we share it with
We share information with the third-party tools that run our business, strictly to the extent needed for them to perform their function:
- GoHighLevel: CRM, forms, email and SMS automation, payment processing, and the Voice AI agent behind the Automated Receptionist
- Calendly: booking our application, implementation and help calls
- Zoom: live course delivery and recordings
- Google Analytics: website analytics
- Vercel: website hosting, which includes standard server logs
- Advertising platforms (Meta, Google), where you have interacted with an ad or our pixel is active on the site
Where we manage advertising accounts for a Slipstream client, we act inside your own Meta or Google accounts under the access you grant us, and you can withdraw that access at any time.
Some of these providers may store or process data on servers located outside Australia. By using our site and services, you consent to this.
6. Cookies and tracking
Our website uses cookies for basic functionality and analytics, and advertising pixels to measure ad performance and show relevant ads to past visitors. Our free tools also use your browser’s own local storage to remember what you have entered; that is stored on your device, not on ours. You can control cookies and clear local storage through your browser settings; doing so may affect how parts of the site work and will delete anything a tool has saved for you.
7. Marketing emails
The Fast Lane and any other marketing emails are sent only to people who’ve opted in, in line with Australia’s Spam Act 2003. Every email includes a functional unsubscribe link. You can unsubscribe at any time; this won’t affect service-related emails tied to something you’ve purchased (e.g. Blueprint session reminders or receptionist installation scheduling).
8. Data security and retention
We take reasonable steps to keep your information secure, including relying on the security measures of our third-party providers (GoHighLevel, Calendly, Zoom, Vercel). We keep personal information only as long as reasonably necessary for the purpose it was collected, or as required by law (e.g. financial record-keeping). Call recordings and transcripts from the receptionist demonstration line are kept only while the demonstration is running and are deleted when it is retired.
9. Your rights
You can ask us to access, correct, or delete the personal information we hold about you at any time by contacting hello@swimschoolownershub.com. If you’re not satisfied with how we’ve handled a privacy concern, you can raise it with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
10. Children
Our website and services are directed at swim school business owners and operators, not children. We do not knowingly collect personal information from children. We do not ask for, and do not want, any information about the children enrolled at your school.
11. Changes to this policy
We may update this policy from time to time. Continued use of our website after a change means you accept the updated policy.
